Project Vendor Coordinator:

RTI International is looking for a Project Vendor Coordinator to support its Global Technology Solutions (GTS) Business Unit. The Vendor Coordinator will work with several IT groups to gain and maintain technology supply vendor pricing contracts, address distributor issues, and create monthly reports. The successful candidate will be highly organized with strong skills in Microsoft Office (Word, Excel, Outlook). They will have excellent written and verbal communication skills. 

Principal Duties and Responsibilities:
  • Support coordination and management of Global Technology Solutions (GTS) vendors (equipment, materials, services and supplies). 
  • Act as point of contact for vendors, and help answer their questions.
  • Follow up with vendors on overdue orders and document work .
  • Work with Global Supply Chain department to take corrective action on overdue or incorrect orders and communicate decisions.
  • Compile data to determine feasibility of buying products or services.
  • Compile information from periodicals, catalogues, and other sources to keep informed on price competitiveness.
  • Recommend suppliers, analyze trends, follow up on orders placed, verify delivery, review and approve payment, and maintain necessary records.
  • Support the negotiation and execution of simple agreements.
  • Ensure compliance with applicable policies and procedures.
  • Work with Global Supply Chain department when asked for clarifications and information from vendors.
  • Answer vendor inquiries in a timely and courteous manner by phone and email.

  • Bachelors Degree in Business Administration, Information Technology or related field and at least 1 year of relevant work experience or equivalent combination of education and work experience
  • Excellent knowledge of MS Word, Outlook, PowerPoint, Excel;
  • Ability to multi-task;
  • Ability to work well with others;
  • Ability to listen and communicate well both verbally and in writing;
  • Ability to establish and maintain effective working relationships with co-workers, supervisors, project staff, suppliers and clients;
  • Proficient interpersonal, oral and written communication skills;
  • Ability to work independently within scope of job description;
  • Knowledge of procurement/contracts principles and terminology as well as basics of contracts administration and finance or accounting;
  • Ability to perform duties that require close attention to detail, to prioritize workload and follow tasks through to completion;
  • Ability to obtain proper security clearances if required as noted by contracts;
  • Ability to understand and negotiate agreements;
  • Ability to understand basic contracting terms;
  • Experience in the non-profit a plus

Physical and mental demands of this role include those that must be met by an employee to successfully perform the essential functions of this job, as outlined above.  Examples include:  remaining in a stationary position for long periods of time; operating a computer and other office machinery; thinking, learning, and concentrating effectively and frequently communicating with other people, both within RTI and outside of RTI; frequently moving about inside and travel between offices and laboratories; frequently conducting laboratory site inspections (if applicable), ability to handle the stress associated in meeting frequent, multiple and tight deadlines, ability to work in excess of 40 hours per week as workload and deadlines may require, consistent demonstration of mental stability and ability to have regular, reliable and predictable attendance.
