RTI is currently accepting applications for the position of a Senior Project Coordinator to support our work in governance and youth economic opportunities. Working closely with other project management team members, the Senior Project Coordinator (PC) provides operational and coordination support to projects and project management teams within RTI’s GYEO Division. The PC liaises with the client, home and field offices, subcontractors, and consultants to support timely and high-quality work conducted for programs under implementation. They add value by developing and implementing administrative systems which adhere to RTI and Client protocols (GYEO clients include USAID, DFAT and DFID). Additionally, the PC provides targeted support to new business opportunities in accordance with RTI’s and GYEO’s strategic vision.

 

The successful candidate will have a strong knowledge of USAID rules and regulations and will be able to provide operational support to large international development activities. They will be expected to have an exceptional ability to plan and organize work, develop tools, prepare and summarize reports and other materials, and follow through on agreed upon actions, while maintaining a positive and productive attitude with other team members in a fast-paced and demanding environment. They must be a strong communicator, be energetic and show initiative, demonstrate a willingness to take on challenges, while at the same time appreciating the scope of the position and their role within the team.

 

Candidates are preferably based in Research Triangle Park, NC or Washington, DC; however permanent telecommuters are welcome to apply. International travel is required. Due to the COVID-19 pandemic, all RTI employees are currently working from home and international travel is suspended until further notice. Candidates based in the Washington DC area or the Triangle area (RTP, NC) will be expected to work out of RTI’s DC or NC offices when normal operations resume.

 

Specific Responsibilities:

The Senior Project Coordinator works closely with the Project Manager (PM) and provides supervision of a Project Associate (PA), as applicable, to provide home office operational support to active projects in the field. This position is responsible for a wide range of administrative, financial, coordination, and operational project and proposal support tasks, with expectation for limited engagement on new business opportunities. Specific responsibilities will include:

  • Supporting all phases of project implementation, from project start-up to close out with a focus on operational and financial tasks.
  • Liaising daily and leading frequent check-in meetings with project field office operations teams, home office or regionally-based international support functions and/or technical teams to ensure appropriate support for smooth project implementation.
  • Developing and maintaining project management schedules, work plans, and other general project management resources and tools, in collaboration with field and home office colleagues.
  • Establishing and maintaining financial tracking tools and project budgets, monitoring expenses on a monthly basis and helping to design and implement strategies that address financial performance issues and help to identify risk. Re-budgeting of projects within contractual constraints may be required from time to time.
  • Proactively identifying operational, financial, security, reputational or any other risks and closely working with the Project Manager to mitigate those risks; as appropriate, escalating concerns to senior division management for additional support in addressing them. 
  • Reviewing monthly expenditures for projects to ensure contractual compliance, and ensuring invoices are submitted to the client on time. 
  • Supporting the recruitment and onboarding of project staff and other human resources processes in coordination with RTI’s HR department, including the identification of short-term technical assistance needs and resources.
  • Preparing travel and consultant approval requests, information for contract modification requests, and other actions for submission to clients.
  • Supporting the contracting and monitoring of subcontractors and consultants, reviewing invoices; modifying contracts when needed; ensuring payments are made in a timely manner.
  • Participating in procurement processes and ensuring compliance.
  • Tracking completed/approved deliverables, especially those required for USAID's Development Experience Clearinghouse and RTI managed websites.
  • Ensuring accurate and compliant record keeping; monitoring and leading any correction process required to ensure project documentation, deliverables and data are maintained consistently in accordance with policies and standards.
  • Providing general reporting to project management teams.
  • Supporting business development as assigned; this may include reviewing proposal budgets, conducting crosswalks of budgets and technical volume of proposals, market research, recruiting, preparing job descriptions, project performance summaries, corporate capability statements and information gathering trips.
  • Performing other duties as assigned.

 

This position is expected to support projects approximately 70% of the time, proposals 15%, and other tasks as required 15%.

Minimum Qualifications:

  • Master's degree in international affairs, public policy, economics or relevant social science field with at least 3 years of relevant work experience; or a bachelor’s degree with at least 5 years of relevant work experience.
  • Experience in donor-funded work on project administration for USAID. Strong knowledge of USAID rules and regulations. Experience with other international donors a plus.
  • Experience in direct or indirect field management a plus.
  • Outstanding critical thinking skills and proven ability to identify issues and opportunities, provide solutions, and build consensus among multiple stakeholders.
  • Proven excellent organizational skills and attention to detail.
  • Proven ability to interact effectively with team members, partners and donors. Culturally sensitive and respectful.
  • Proven excellent interpersonal and communication (oral and written) skills.
  • Ability to work in a fast-paced environment and meet deadlines under pressure as a self-starter who works both independently and as a collaborative team player.
  • Skilled in budgeting and financial analyses; strong Word, Excel, and PowerPoint skills. 
  • Experience working, volunteering, or traveling in developing countries.
  • Proficiency in a foreign language, French preferred.
  • Ability to travel internationally for multiple weeks at a time.
  • Experience with proposal development a plus.


Physical and mental demands of this role include those that must be met by an employee to successfully perform the essential functions of this job, as outlined above.  Examples include:  remaining in a stationary position for long periods of time; operating a computer and other office machinery; thinking, learning, and concentrating effectively and frequently communicating with other people, both within RTI and outside of RTI; frequently moving about inside and travel between offices and laboratories; frequently conducting laboratory site inspections (if applicable), ability to handle the stress associated in meeting frequent, multiple and tight deadlines, ability to work in excess of 40 hours per week as workload and deadlines may require, consistent demonstration of mental stability and ability to have regular, reliable and predictable attendance.
